How much does deploying an AI agent cost? (real numbers)

“So how much does an AI agent like that cost?” The question that comes up the moment someone sees a demo of a chatbot answering company questions. Most vendors’ answer? An annoying “it depends”. This article is about what it actually depends on, what the indicative ranges are and how to get the most out of your budget. With real numbers.
Why there’s no single price tag
An AI agent isn’t a boxed product. The difference between a simple FAQ chatbot and an agent that reads invoices, checks them against the ERP and posts them into accounting is like the difference between a scooter and a car. Both get you from A to B, but the price and capabilities are worlds apart.
The good news: the cost can be estimated well right after a short analysis of the use case. And you can almost always start small - with one use case that pays for itself quickly.
What drives the cost
These are the five main factors that push the price up or down:
- Task complexity - answering questions from a single document is different from a multi-step process that makes decisions and writes into several systems.
- Connecting to your systems - every integration (ERP, CRM, e-shop, e-mail) means extra work. An agent with no access to data is just a pricier ChatGPT.
- Data quality and preparation - if the agent is to answer over your documents, they must be available, clean and up to date. Messy data is the most common reason projects balloon.
- Accuracy and oversight - the higher the risk of error (finance, legal), the more testing, guardrails and human oversight you need to build in.
- Operation - the agent runs on paid AI models (OpenAI, Anthropic, Azure) and needs maintenance. This is a monthly cost, not a one-off.
Indicative ranges
Treat the numbers below as a framework, not a price list - the real cost comes out of a short analysis. These are typical ranges for small and medium-sized companies:

On top of the one-off price, add monthly operation - typically tens to low hundreds of € per month for an SME (AI models + hosting + maintenance), depending on volume.
One-off vs. ongoing costs
This gets forgotten even more often with AI than with classic software:
- One-off - design, development, integrations, testing (numbers above).
- Ongoing monthly - AI model usage (you pay per question/answer), hosting and maintenance. For an agent with thousands of interactions a month, this is not negligible.
A good vendor names both parts up front and estimates the monthly running cost before you start.
When it’s worth it (and when it isn’t)
An AI agent makes sense when the task meets at least two of three:
- It repeats often - daily or weekly, not once every six months.
- It takes many hours - that people spend on routine instead of higher-value work.
- It has clear rules - where accuracy can be measured and tested.

How to lower the cost without losing value
- Start with one use case on your most painful routine - not “AI for the whole company”.
- Prioritise tasks with a clear return (hours saved × frequency).
- Mind your data - order in documents and systems saves the most. If your data lives across ten systems, it pays to first connect your business systems.
- Expand iteratively, once you see the real benefit of the first phase.
